What You’ll Be Doing
  • Project Support – Assist with project setup, daily administration, documentation, and testing summaries to ensure smooth execution from award to completion.
  • Accurate Reporting – Review timesheets, generate daily LEMs, and follow up with clients to ensure timely approvals and accurate project records.
  • Financial Tracking – Prepare monthly invoices, track project budgets, and support contract and PO amendments to keep projects financially on track.
  • Team & Client Collaboration – Maintain positive communication with clients while working closely with Project Managers, Supervisors, and field teams to support project success.
  • Equipment & Fleet Coordination – Assist with scheduling fleet maintenance and equipment calibrations in collaboration with Project Managers, the Equipment Coordinator, and field teams.

What We’re Looking For
  • Relevant Experience – 2–3 years of experience as a Project Administrator or Project Coordinator in a construction or engineering environment.
  • LEM & Invoicing Knowledge – Strong understanding of Labour, Equipment, and Materials (LEM) tracking and project invoicing processes.
  • Software Savvy – Experience with AIMSIO software is an asset, along with proficiency in Microsoft Word, Excel, and Outlook.
  • Financial Awareness – Proven experience with project budget tracking, purchase orders, and contract amendments.
  • Industry Background – Background in Civil Engineering or Construction is considered an asset.
  • Highly Organized & Detail-Oriented – Exceptional attention to detail with strong organizational and file management skills.
  • Clear Communicator – Excellent written and verbal communication skills with the ability to maintain positive client and team relationships.
  • Deadline Driven – Ability to manage multiple priorities, work under pressure, and meet tight deadlines.
